First-draft policy
This document is a working first draft prepared so PIKL can run an early-access programme with reasonable transparency. A solicitor will review and finalise the binding version. If you spot anything that looks wrong, contact us and we will get the right person to look at it.
01. Who we are
PIKL is operated by DRFT Solutions Ltd, a company registered in England and Wales. We are the data controller for the personal data we collect about you when you use the PIKL website and apps.
For questions about this notice or your data, write to privacy@pikl.app.

02. What personal data we collect
The data we hold about you depends on how you use PIKL. Most of it you give us directly when you sign up, complete your profile, or interact with clubs, groups, and venues.
Information you give us
| Category | Examples |
|---|---|
| Account | Name, phone number, email address, password (stored hashed), profile photo, date of birth, gender, area or city. |
| Player profile | Skill level, DUPR rating linked from DUPR, preferred session modes, regular venues, paddle and play preferences. |
| Club, group, venue, coach | Where you organise activity, we collect details that help players find you: name, location, banner photo, description, schedule, fees, contact preferences. |
| Posts and messages | Content you post or send through PIKL, including chat messages, group posts, club updates, court reviews, and session RSVPs. |
| Payments | Where you take or make payment through PIKL, billing details handled by Stripe. We see metadata such as the amount, currency, and a Stripe reference; we do not see your full card number. |
| Support | Information you give us when you contact us — your message, attachments, and any details we need to investigate. |
Information collected automatically
| Category | Examples |
|---|---|
| Device and usage | Browser, operating system, device identifiers, language, timezone, pages visited, search terms, referring URL, approximate IP-derived location. |
| Location | On the apps, where you grant permission, GPS-level location for finding nearby clubs, courts, and groups. On the web, approximate location from your IP address (city level). |
| Cookies and similar | See our cookie notice for the full list. On logged-out pages we set only strictly necessary cookies until you give consent. |
| Analytics | When you opt in, aggregated usage data through Vercel Analytics. Helps us see which pages and journeys help players find what they need. |
Information from third parties
Where you connect another service to PIKL — for example, signing in with Apple or Google, or linking your DUPR profile — we receive a limited set of profile data from that service. The third party tells you what it shares before you connect it.
Special category data
We do not knowingly collect special category data (such as racial or ethnic origin, religious beliefs, health information, or sexual orientation). Please do not post this kind of information through PIKL unless you mean to make it public.
03. Why we use your data and our lawful basis
UK GDPR requires us to have a lawful basis for every purpose we process your data for. This is how the main purposes break down.
| Purpose | Lawful basis (UK GDPR Art. 6) |
|---|---|
| Create and run your account; let you sign in; keep the Service working. | Performance of a contract — these are core to giving you the Service you signed up for. |
| Show clubs, groups, venues, and players in public listings (only what the relevant person or organiser has chosen to make public). | Performance of a contract for organisers; legitimate interests for public discovery, balanced against player privacy. |
| Process and record payments through Stripe. | Performance of a contract; legal obligation (tax and accounting). |
| Send service messages — for example, OTP codes, booking confirmations, security alerts. | Performance of a contract; legal obligation where required. |
| Send marketing emails or push notifications about new features. | Consent — you can opt in or out at any time in your settings. |
| Detect, prevent, and investigate fraud, abuse, and security incidents. | Legitimate interests in keeping PIKL safe, balanced against your interests. |
| Improve the Service through analytics on aggregated usage. | Consent (analytics cookies and tracking). |
| Comply with legal obligations such as tax, audit, anti-money-laundering, and law-enforcement requests. | Legal obligation. |
| Investigate complaints, defend ourselves in disputes, enforce our terms. | Legitimate interests. |
Where our basis is consent (such as marketing or analytics), you can withdraw consent at any time without affecting processing we already did. Where our basis is legitimate interests, you have the right to object — see your rights below.
05. International transfers
PIKL is built and run from the UK. Some of our service providers process data outside the UK and the European Economic Area, mainly in the United States. Where we transfer your data outside the UK, we use one or more of these safeguards:
- Transfers to a country covered by a UK adequacy decision.
- The UK International Data Transfer Agreement, or the EU Standard Contractual Clauses with the UK Addendum.
- Where applicable, the UK Extension to the EU-US Data Privacy Framework when the recipient is certified.
You can ask us for a copy of the safeguards in place for a specific transfer by writing to privacy@pikl.app.
06. How long we keep your data
We keep personal data only as long as we need it for the purposes we collected it for. The main retention periods are below — they are guides, not absolutes, because legitimate reasons sometimes require us to keep specific data longer (for example, an open investigation).
| Data | Kept for |
|---|---|
| Active account data | While your account is open. We delete or anonymise it within 30 days of you closing the account, except where another period below applies. |
| Payment records | 6 years from the end of the relevant tax year, to meet HMRC and accounting obligations. |
| Support tickets and complaints | Up to 3 years after the issue is closed. |
| Safety and abuse records | Up to 6 years where there is a credible safety concern, to help prevent repeat behaviour and to defend any legal claim. |
| Backups | Rolling encrypted backups are kept for up to 30 days, then overwritten in the normal course of operations. |
| Marketing preferences | While you keep an account; suppression lists are kept indefinitely so we do not email you again after you opt out. |
07. Your rights
Under UK GDPR you have the following rights. They are not absolute — there are legal exceptions — but where they apply we will act on a request within one month, or tell you why we cannot.
| Right | What it means in practice |
|---|---|
| Be informed | This notice exists to satisfy this right. Ask if anything is unclear. |
| Access | Get a copy of the personal data we hold about you. |
| Rectification | Correct data that is inaccurate or out of date. |
| Erasure | Ask us to delete your data, where one of the legal grounds for erasure applies. |
| Restriction | Ask us to pause processing while we look into a concern. |
| Data portability | Receive a copy of data you have provided to us in a structured, commonly-used, machine-readable format. |
| Object | Object to processing based on legitimate interests, including direct marketing. |
| Withdraw consent | Where we rely on consent (for example, analytics or marketing) you can withdraw it at any time. |
To exercise any of these rights, email privacy@pikl.app from the address on your account. We may need to verify your identity before we act, particularly for access and erasure requests, to protect your data from someone impersonating you.
Right to complain
09. Children
PIKL is intended for players aged 13 and over. Children under 13 should not use the Service or share their personal data with us. Where we learn that a child under 13 has signed up, we will close the account and delete the data.
Where you are a parent or guardian and want to give consent for a 13–17-year-old to use the Service, you may need to be present during sign-up depending on the activity (for example, paying for a club membership).
10. Security
We use technical and organisational measures designed to protect personal data, including encryption in transit, access controls, principle-of-least-privilege for staff, audit logging, and incident-response plans. No system is completely secure — if you believe your account has been compromised, contact us immediately at support@pikl.app.
Where a personal-data breach is likely to result in a risk to your rights and freedoms, we will notify the ICO within 72 hours as required and notify you without undue delay.
11. Changes to this notice
We will update this notice from time to time. The “Last updated” date at the top reflects the latest version. Where a change is material — for example, a new processor or a new processing purpose — we will tell you in advance through the Service or by email.
12. Contact
For privacy questions, requests, or complaints, write to privacy@pikl.app. We will normally reply within a few working days.
